A simple customer follow-up system for sole traders

Turn a conversation into a clear next action, without relying on your inbox or memory to hold the whole customer relationship.

Good follow-up starts with knowing what you agreed to do. For a sole trader, a small and consistent system can be more useful than a complicated pipeline that is difficult to maintain.

Keep the customer details together

Record the contact details you need for the work and keep them up to date. Avoid collecting information just because a form has an empty field. Be especially careful with sensitive personal information.

Write the next action after the conversation

Before moving on, write down the next step. Include what needs to happen and when you intend to do it. 'Call about the revised scope on Tuesday' gives you a starting point that 'follow up' does not.

  • Confirm the action you own.
  • Note anything you are waiting for.
  • Choose a practical follow-up date.

Review open tasks at a regular time

A short daily look at your tasks helps you catch approaching commitments. If you cannot complete an action, update the date deliberately and communicate when necessary. Quietly moving a deadline is not the same as agreeing on a new one.

Keep financial follow-ups accurate

Check the invoice balance and any partial payments before asking about payment. Make your message specific and helpful. Keep your business records and the customer's recent reply in view.

Make the system easy to continue

The useful system is the one you keep using. Start with a customer record and one linked next action. MINTNERVE gives customers and everyday tasks a common workspace, without requiring a fixed industry setup.

Keep an independent backup and use appropriate professional advice for your business's privacy, contractual and record-keeping obligations.
